ROOM CONDITION REPORT GUIDELINES

 RCRs are used to assess room damage billings.  Therefore, it is important that they be accurately completed.  The following guidelines provide specific procedures:

  1. Upon checking in, each resident  should receive a completely filled out RCR.  Encourage them to read the accompanying "Important Notice" before filling out the RCR.  The student should be informed that it is his/her responsibility to note any damage currently in the room on the left hand portion of this form that is not documented by the staff member who filled it out.

  2. The RCR must be signed on the same day that the student checks into the room (preferably, immediately upon arrival) and returned to the staff member.  Encourage students to be thorough and explain the consequences.

  3. In collecting the RCR, the staff member should make sure that all necessary information has been completed; record the key code numbers; and verify that both the student and staff member signatures are present.

  4. All completed RCRs should submitted to your supervisor.  They will be kept in a central location in Student Development.
